Terms of Service

1. Agreement

These Terms form a contract between you and Arden, a sole-trader business operated from Churchmoore Barn, Martin Street, Baltonsborough, BA6 8QT, United Kingdom. By creating an account or using the service at applywitharden.com (the "Service"), you agree to them. If you do not, please do not use the Service.

2. Eligibility

You must be at least 18 years old and legally able to enter a contract in your jurisdiction. The Service is aimed at jobseekers in the United Kingdom; availability elsewhere is not guaranteed.

3. Your account

You are responsible for keeping your sign-in credentials safe and for everything done through your account. Tell us straight away at support@applywitharden.com if you think your account has been compromised.

4. What the Service does

Arden aggregates job listings, matches them to your profile, generates tailored CVs and cover letters using AI, helps you draft replies to recruiter emails (inside Arden, inside your own Gmail or Outlook via our add-ons, or inside any webmail via our browser extension), and tracks the applications you submit. Features and pricing may change as we improve the product.

5. Email features and integrations

Some of our features touch your email. They are all optional — you only get them if you install or enable them.

The Arden mailbox

If you opt in, we provide you with an email address on a domain we operate. Mail received there is stored in your account and classified into categories like interview invitations, offers, and rejections. You agree not to use the Arden mailbox to send unsolicited bulk email, run mailing lists, sign up to services unrelated to your job search, or otherwise behave in a way likely to harm the deliverability reputation of the domain. We may suspend or close your mailbox if your activity puts other Arden users at risk.

Gmail add-on, Outlook add-in, and browser extension

These surfaces let you draft recruiter replies directly inside the inbox you already use. They read only the message you have actively opened or are replying to, and only when you press the "Draft with Arden" action. The exact permissions we request and how the data flows are described in section 10 of our Privacy Policy.

When you press the action, we send the contents of that one message and any one-line intent you typed to our service to produce a draft, which we return to you. We do not retain the message contents after the draft is delivered, beyond a usage log of "this user generated a draft at this time". We do not use your mail to train AI models.

The drafts produced are suggestions. Reviewing the draft and hitting Send remains your decision; you are responsible for every email you send from your own inbox using a draft Arden helped produce.

Personal access tokens

The Gmail add-on uses a long-lived personal access token you generate at /account/addon-token. You can revoke any token at any time from that page. We store only a hashed copy of the token, never the raw value; if you lose your copy you generate a new one rather than retrieve the old.

Connected inboxes (Gmail / Outlook / IMAP)

You can also link a full inbox at /account/inboxes. When connected, Arden pulls job-related mail into the inbox view (where the classifier sorts it into job alerts, interview invitations, offers, and rejections), and can send replies and speculative applications through your real address rather than an Arden-branded one. Linking is opt-in and reversible — disconnect at any time from the same page.

Arden never sends mail from your linked account without you explicitly clicking Send in the relevant compose window. There is no automated outbound on your behalf, and no scheduled / drip campaigns. Every outgoing message is the result of a deliberate user action.

How we treat the data we receive through Google APIs (and, by extension, Microsoft Graph and IMAP) is governed by the Limited Use disclosure in section 11 of our Privacy Policy. In short: no advertising, no resale, no AI training on your mail, and no human reading except where you ask.

6. AI-generated content

CVs, cover letters, and other text produced by our AI tools are suggestions, not guarantees. You are responsible for reviewing the output for accuracy and suitability before sending it anywhere. Arden is not a recruiter, employment agency, career advisor, or legal advisor, and nothing on the Service is professional career or legal advice.

7. Subscriptions and billing

We offer a free tier and paid subscription plans. Paid plans renew automatically at the interval you chose until you cancel. You can cancel at any time from your account settings — cancellation takes effect at the end of the current billing period.

Refunds are governed by our Refund Policy, which explains your statutory UK cooling-off rights and how they interact with digital-service delivery.

8. Acceptable use

You agree not to:

  • Create accounts with false information or impersonate others.
  • Submit CV content you do not have the right to use.
  • Scrape, reverse-engineer, or systematically extract data from the Service.
  • Use the Service to send spam, harass employers, or apply to jobs in bad faith.
  • Attempt to compromise the security of the Service or other users' accounts.

We may suspend or terminate accounts that breach these rules.

9. Your content

You keep ownership of everything you upload (CV text, notes, etc.). You grant us a non-exclusive licence to store and process that content solely to deliver the Service to you. If you delete your account, we delete your content per our Privacy Policy.

10. Service availability

We aim for high availability but do not guarantee the Service will be uninterrupted or error-free. Planned maintenance, third-party outages (e.g. Supabase, Stripe, Anthropic, Adzuna), and force majeure events may cause downtime.

11. Limitation of liability

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or anything else that cannot be lawfully limited under English law.

Subject to that, our total liability for any claim arising from the Service is limited to the greater of (a) the fees you paid in the 12 months before the claim arose or (b) £100. We are not liable for indirect or consequential losses — including missed job opportunities, lost earnings, or reputational harm — arising from your use of the Service.

12. Ending the contract

You can close your account at any time from the Profile page or by emailing us. We may terminate or suspend your account if you breach these Terms, if we are required to by law, or if we stop offering the Service.

13. Changes

We may update these Terms. Material changes will be emailed to you at least 14 days before they take effect. Continued use of the Service after a change means you accept the new Terms.

14. Governing law

These Terms are governed by the laws of England and Wales. You and Arden agree to the exclusive jurisdiction of the English courts, although you retain any mandatory rights under your local consumer law.
